Already Columbus’ top independent PR firm, Geben Communication, has ambitious growth goals. To help us build a smart, efficient company poised for growth, we’re seeking an operations manager to partner with our Director of Operations and our HR team. The perfect candidate has a keen eye for detail, can wear multiple hats, and thinks two steps ahead.

Geben works with a range of B2B and B2C clients from startups and emerging brands, to Fortune 200 companies … and everything in between. We have a special affinity for mission-driven nonprofits and foundations, as well as for-profit brands that share our commitment to Do Well By Doing Good. While this role will be behind the scenes of our client work, the processes put in place by our operations team are the backbone to our client success and workflow.

What will you be doing as Geben’s newest team member? Every day is different, which keeps it fun and fresh, but some of your responsibilities will include:

 
 

Hospitality/Culture Support

  • Assist in team and client event planning, including lunch/dinner reservations, our biannual GebTogether, holiday gifting, quarterly service projects, and cultural activities throughout the year

  • Support our clients’ and internal “Celebrate Successes” program by ordering gifts and coordinating team appreciation

  • Coordinate team travel and accommodations as neededSupport the development of media strategies through thorough research and strategic media list building.

Human Resources Support

  • Oversee the day-to-day operations of our healthcare coverage and have a thorough understanding of our benefit options

  • Maintain 401(k) retirement program by facilitating team contributions and submitting reports to accounting for payroll deductions

  • Review team expense reports and coordinate with accounting team for reimbursement

  • Maintain employee HR and personnel files

  • Support employee onboarding/offboarding by updating internal systems, processing new hire checklists, scheduling meetings/trainings, etc.

Financial Support

  • Deposit checks at the bank and update the deposit tracker

  • Pull monthly accounts receivable report and highlight notable findings

  • Audit and verify expenses on the company credit card

  • Manage invoices from vendors to assist the accounting department

  • As new clients are signed, input into master billing schedule

  • Support invoicing by creating and sending invoices through our accounting software (currently: Xero) and/or invoicing through client-specific portals

  • Update and process contracts via DocuSign

Office Management

  • Order office supplies, stationary, snacks, drinks, etc.

  • Coordinate with office vendors (landlord, cleaners, accounting) as directed by the Director of Business Operations

  • Package and coordinate shipping for internal and external packages

  • Screen and transfer phone calls to the team

  • Oversee general office maintenance (e.g., taking out the trash, tidying up public areas)

  • Submitting work orders and scheduling repairs for general office space and equipment
