This role is for someone who thrives at the intersection of operations, marketing, and strategic execution. You won’t be asked to lead sales calls or close deals — but you will play a vital role in turning strong leads into signed clients by building the infrastructure that supports our business development engine.

We’re hiring a Business Development Operations Manager who plays by our House Rules. We need a motivated pro who can deliver business-oriented results. In this unique role, every day will be different, but you will:

Proposal Development & Scope Drafting

  • Turn meeting transcripts and/or notes into first-draft scopes using prompts, templates, and AI tools (e.g., ChatGPT)

  • Populate proposal decks with Geben background, team bios, case studies, and relevant capabilities

  • Coordinate quote-gathering from external vendors (e.g., design, video) when needed for proposals

Business Development Enablement

  • Set up and manage proposal workflows in HubSpot, including tracking follow-ups and proposal status

  • Connect email marketing tools (e.g., Mailchimp, HubSpot) to nurture leads and track engagement

  • Assist with list building, prospect research and relationship mapping to support lead generation and relationship building

  • Track award deadlines and relevant events that support visibility among clients and prospects

Data & Insights

  • Build dashboards or trackers to analyze lead sources, win/loss trends, average deal size, and sales cycle timelines

  • Identify patterns in organic growth (upsells, cross-sells) to support account team strategies

  • Develop light reports that inform ongoing business development priorities

Handoff Coordination

  • Create internal summaries and lead transition materials when new business closes

  • Ensure the client services team receives everything needed to start strong (context, expectations, history, etc.)

What We’re Looking For:

  • Strong project management and organizational skills

  • Familiarity with CRM platforms (preferably HubSpot)

  • Experience with marketing or sales enablement tools (or eagerness to learn)

  • Comfort using technology, including AI (e.g., ChatGPT) for writing and drafting

  • Confidence working autonomously and proactively spotting what needs to be done

  • Bonus: Background in marketing, operations, communications, or agency environments
