Already Columbus’ top independent PR firm, Geben Communication has ambitious growth goals. To help us build a smart, efficient company poised for growth, we’re seeking an operations coordinator to partner with our Director of Operations and our HR team. You are perfect for this role if you’re interested in learning how things work behind the scenes, have an impeccable eye for detail, and can wear multiple hats.

While this role will be behind the scenes of our client work, the processes put in place by our operations team are the backbone to our client success and workflow.

What will you be doing as Geben’s newest team member? Every day is different, which keeps it fun and fresh, but some of your responsibilities will include:

 
 

Hospitality/Culture Support

  • Assist in team and client event planning, including lunch/dinner reservations, our biannual GebTogether, holiday gifting, quarterly service projects, and cultural activities throughout the year

  • Support our clients’ and internal “Celebrate Successes” program by ordering gifts and coordinating team appreciation

  • Coordinate team travel and accommodations as needed

Operations Support

  • Review team expense reports and coordinate with accounting team for reimbursement

  • Support employee onboarding/offboarding by updating internal systems, processing new hire checklists, scheduling meetings/trainings, etc.

  • Deposit checks at the bank and update the deposit tracker

  • Pull monthly accounts receivable report and highlight notable findings

  • Manage invoices from vendors to assist the accounting department

  • As new clients are signed, input into master billing schedule

Office Management

  • Order office supplies, stationary, snacks, drinks, etc.

  • Coordinate with office vendors (landlord, cleaners, accounting) as directed by the Director of Business Operations

  • Package and coordinate shipping for internal and external packages

  • Screen and transfer phone calls to the team

  • Oversee general office maintenance (e.g., taking out the trash, tidying up public areas)

  • Submitting work orders and scheduling repairs for general office space and equipment
